How we handle your calls.

Draft structure only. The sections below are the ones this product actually needs, written in plain language so a tradesman can read them. The binding text has to be reviewed by a lawyer before launch — especially the recording and consent section, which carries real exposure.
Recording and consent
TradeLoom answers calls to your business line and records them so it can write the brief you receive. Every caller hears a notice at the start of the call telling them they've reached an answering service and that the call is recorded.
That notice is added automatically and cannot be edited or removed from your greeting. Some states require every party to a call to consent to being recorded, and the notice is how that consent is obtained. Removing it would put both of us on the wrong side of those laws.
- The notice text varies based on where the caller is calling from.
- If a caller objects, the call continues without a recording being retained — only the written brief is kept.
- You are responsible for the legality of forwarding your business line to us in your jurisdiction.

Your data is never used to train AI
Your call recordings, transcripts, briefs, customer names, addresses, and notes are never used to train, fine-tune, or evaluate any machine learning model — ours or a vendor's. We don't sell them, we don't license them, and we don't hand them to a data broker.
We contractually require the same from every vendor in the pipeline. If that ever changes, we'll tell you before it takes effect, not after.
What we collect
- From your callers: phone number, name, the job they described, the address they gave, and an audio recording of the call.
- From you: business name, trade, services, service area, greeting, your phone number and email, and your notes on each job.
- Automatically: when calls came in, how long they lasted, and what actions you took in the app.
We don't collect payment card numbers. Stripe handles payment and we only ever see the last four digits and the expiry.
Who else touches your calls
Running a phone line means other companies are involved. Here's the whole list, and what each one sees:
- Telnyx — carries the call and sends your brief by text. Sees the audio and phone numbers.
- Deepgram — turns speech into text. Sees the audio.
- OpenRouter / DeepSeek — writes the brief from the transcript. Sees the transcript.
- Supabase — stores your intakes and profile. Sees everything at rest, encrypted.
- Stripe — handles billing. Sees your email and payment method, never your calls.

How long we keep things
- Recordings: TBD — recommend 90 days by default, with a setting to shorten it.
- Briefs and job records: for as long as your account is open.
- After you cancel: 30 days, then permanent deletion.
Getting your data out, or deleted
Settings → Your data. Download everything as a file you can keep, or delete all call data permanently. Deletion removes recordings from our storage and from the phone carrier within 24 hours, and it can't be undone.
You can also delete a single call from that call's page at any time.
Terms of service
Needs drafting by counsel. The sections this product specifically requires, beyond boilerplate:
- What we don't promise. TradeLoom answers calls but doesn't guarantee it catches every one — carriers drop calls, phones lose signal. Set that expectation here rather than in a dispute.
- No price authority. Anything quoted from your rate card is your quote, not ours. You own what gets said about money.
- Your forwarding. You're responsible for setting up and maintaining forwarding on your own line, and for telling us when your number changes.
- Acceptable use. The line can't be used for telemarketing, collections, or anything requiring TCPA consent we haven't obtained.
- Billing. Monthly, prorated on change, cancel any time, no refund for a partial month.
- Call caps. What happens at the cap — we notify, we don't silently stop answering.
